Privacy policy

This policy describes information handled through Codalta’s marketing website, project inquiry form and client portal. Client projects may also be covered by the agreement or notice provided for that service.

Information you provide

The project form asks for your name, email, project needs, preferred contact method, timing and description. Company and phone details may be supplied where relevant; a phone number is needed when you request a call or text. Please avoid sending passwords, payment-card details or sensitive personal information in a project brief.

If you choose “Text Message” as your contact method and give a phone number, you agree that Codalta may text you about your request. Message and data rates may apply, and you can reply STOP or email us at any time to opt out. Consent to texting is not a condition of working with us.

Client portal and conversations

When a client portal is set up, we ask for a phone number (required before you can use the portal) and, optionally, your company, preferred contact method, best time to reach you and whether you agree to text messages, and we keep these with your account along with the account email, sign-in and session records, messages you send or receive in the portal or by replying to portal emails, attachments you upload, and project, invoice and document records. Replies sent to a conversation email address are saved to that conversation, including the original email file and attachments, so the full record stays in one place. Mail that cannot be matched to a customer or fails sender checks is held for review and deleted automatically after 90 days.

How inquiries are used

On the production site, submitted details are used to review your request, discuss scope and pricing, and contact you about the proposed work. The inquiry system creates a client record using your email and may send a confirmation or portal activation message. Portal access requires email verification. Submitting a request does not require payment.

Website preferences and technical information

The website saves display preferences, such as your chosen theme, in your browser. You can remove these through browser settings. Hosting and security services may process technical request information, such as IP address, browser details and access times, to deliver and protect the website. These marketing pages do not add advertising trackers.

Service providers and access

Information submitted to Codalta is processed by the services used to operate the site: Cloudflare (hosting, database, file storage and security) and Resend (sending and receiving email). We do not sell personal information or share it for advertising. Access may be needed by the people reviewing or responding to your request. If a project requires additional tools or handling of client data, that work is discussed separately.

Keeping information

Inquiry and client records may remain available for follow-up, ongoing work, account administration, security and recordkeeping needs. Unmatched or unverified inbound mail is deleted after 90 days. Other inquiry, conversation and client records are kept while an engagement is active and for up to three years after it ends, and are then reviewed and deleted unless a longer period is needed for legal, tax or security reasons. Contact Codalta to ask about the information held for your inquiry or to request deletion; some records may need to be retained for an active engagement or applicable obligations.

Your questions and choices

Email info@codaltasolutions.com to ask about access, correction or deletion of your information, or to tell us that you no longer want inquiry follow-up. We may need to verify that a request comes from the person concerned before disclosing or changing records. We aim to reply within 30 days. Requests are handled according to the circumstances and applicable requirements, including any privacy rights you have under the law where you live.

To report a security problem, email info@codaltasolutions.com; see our security contact.

Examples, external links and changes

Interactive portfolio and service demonstrations use sample data and local browser state. They do not send a project inquiry or connect to client systems. Links to external services are governed by those services’ own notices. We will update this page when the website’s described practices change.
